The 25-point business efficiency checklist.
Answer yes or no. Every "yes" in the first two sections and every "no" in the last three is time or money leaving your business. Count them, then let us put a dollar figure on each one.
People and time
- Does anyone retype the same information into two systems?
- Do staff chase approvals, signatures or paperwork by email or phone?
- Is there a task only one person knows how to do?
- Do new hires wait more than a day for a laptop, accounts or access?
- Does reporting to leadership take someone more than an hour a week?
Money and spending
- Are you paying for software licenses nobody uses?
- Do two vendors or tools do the same job?
- Do you know your total monthly technology cost, including phones and internet?
- Are any contracts set to auto-renew without review?
- Do invoices go out late or get missed?
Security and risk
- Does every account use multi-factor sign-in?
- Has a backup restore been tested in the last 90 days?
- Would you know within an hour if an account were taken over?
- Do former employees still have any access?
- Could you show an insurer or client proof of your security controls?
Systems and data
- Is the same customer or project data kept in more than one place?
- Do your systems talk to each other, or do people move data by hand?
- Is there one place to see the status of every job or client?
- Are important files only on one person's computer?
- Is there a written plan for your next three technology decisions?
Buildings and spaces
- Do cameras, door access and Wi-Fi cover the whole space reliably?
- Is the office network documented?
- Do you have a plan for your next move, expansion or renovation?
- Are building systems that connect to the internet secured?
- Does anyone own the technology inside the building?
Five or more items to fix? That is usually several hours a week per person. The Hours Audit measures it precisely.
